Policies & ProceduresFood Policy
Children are allowed to bring snacks from home. Snacks are only provided at designated USDA program sites. On half days, a healthy bag/cooler lunch and drink are required. If a child forgets or leaves snack or lunch at home, we will contact you to bring a lunch to the program site. Perishables are discouraged due to their tendency to spoil during the day. No refrigeration is available.
Accidents and Incidents
All serious accidents or incidents WILL BE REPORTED IMMEDIATELY. If your child is hurt, we will contact you. All accidents will be documented. Routine and minor injuries will be handled in house at the site (i.e. a scraped knee or bruised elbow). You will be notified of any injuries. If a child is seriously injured, we will call 911. The Program Leader or Aide will accompany the child in the ambulance. The City will not be responsible for any medical services needed.
Inclement Weather Procedures At times the Hampton City Schools close early during the normal school year due to inclement weather, we will close immediately. We request that you or your emergency contacts pick up your child immediately or within 1 hour of notice. We will start charging a late pickup fee if you fail to pick up your child within the designated time. If schools close for the entire day which will be announced on radio and TV, we will also be closed. If school openings are delayed 1 or 2 hours, we will not have Before School programs. Refunds are not given for program cancellations due to inclement weather. Policy for Suspected Child Abuse or Neglect
If child abuse or neglect is suspected, the Site staff will contact the SAP Program Manager. The Program Manager will investigate and determine course of action. We may contact Child Protective Services for guidance or to file a complaint if necessary.
Lost or Stolen Items
It is the responsibility of the child to keep up with all their personal items. The City of Hampton will not be accountable for any personal items that are lost or stolen. Please have your child leave toys, video games, cell phones etc. at home. This will keep the object from becoming lost, stolen or broken. We will have enough activities to keep your child/children occupied. Cell phones are not allowed in the program. We have a telephone available at each site for emergency use.
Out of Program Employment
The Hampton Parks and Recreation Department is not responsible for child-sitting for parents and/or guardians before or after program hours. Any such arrangement is totally separate from our programs and should not be conducted in our facilities. Staff is not permitted to transport children in private vehicles for any reason.
If Divorced, Who Has Legal Custody?
Hampton Parks & Recreation School Age Program recognizes there are some cases in which parental custody may be shared or one parent has been granted full custody. Any disputes of parental custody must be settled outside of the program. Proof of parental custody should be presented to program staff for verification purposes.
General Photograph/Video Release
For the purpose of advertisement or promotion of our programs, Hampton Parks and Recreation Department may use photographs of program activities, which may include your child’s picture, to publish in magazines or newspapers. There will be no payment for the use of these published photographs. A release form is available at each program site if you desire to opt out of the use of any photos taken of your child.
